There are three triggers that you can use when creating Training Plan automations. These triggers are:
-
Training Plan created
-
Training Plan edited
-
Training Plan status change.
This article will discuss the available triggers further and the walkthrough video will show the automation in action.
Training Plan created & Training Plan edited
We've grouped these two triggers together as these are not customisable. If an automation is active on your instance and a Training Plan status is created or edited these automations will be triggered and your routine will run. They are a great way to update Partners, Hosts, or key members of your team on changes to the Training Plan for a Participant.
Training Plan status change
This trigger is the biggest of the three. This is due to the different statuses that can be used in the automation. The table below gives more information on each status and why you might see this status.
Status name |
Description |
In Progress |
Once a Training Plan is created and has moved from being a 'Draft' plan it will hold a status of 'In Progress'. |
Sent To Sponsor |
This status is created after the Training Plan has been sent to the Sponsor (your instance) by a Host or Partner. This will require the TIPP Setting 'Skip Admin TIPP Review?' to be set to 'Review Required'. |
Returned |
A Sponsor (your instance) can choose to return the Training Plan to the Host with notes on changes required. |
Signed |
Once all signatures, from the Phase Supervisor(s), Participant, and ARO have been received the status of the plan will be 'Signed'. |
Sent For Supervisor Signature |
This status means a plan is sent to the Phase Supervisor(s). This can be sent by the ARO or by the Host or Partner if the TIPP Setting 'Skip Admin TIPP Review?' has been set to 'Review Not Required'. |
Sent For Participant Signature |
Once the Phase Supervisor(s) have signed the plan it will be sent to the Participant to sign. This is when the plan will show this status. |
Awaiting ARO Signature |
To have this status the TIPP Setting 'Skip Admin TIPP Review?' has been set to 'Review Not Required'. The Host or Partner will have then sent the plan for signatures and the Phase Supervisor(s) and Participant will have signed the plan. The outstanding signature will be from the ARO. |
Draft |
During a Training Plans creation the plan can be saved as a Draft, this status means that the plan is incomplete either through choice or there are issues to resolve with the phase information or the plan details. |
Video Walkthrough
The video below will show you how you can create a Training Plan automation and will discuss the triggers available as the Training Plan moves through the different statuses.
